Privacy Policy

Apex Architects is a web design and AI optimization agency based in Montreal, Quebec, Canada. We operate apexarchitects.xyz, the Apex Radar competitive intelligence service, the Apex Intelligence Slack application, and related products.

This Privacy Policy applies to all of the above. References to 'we', 'us', or 'our' mean Apex Architects. References to 'you' mean anyone who visits our website, uses our services, or installs our Slack apps.

Website visitors. When you visit apexarchitects.xyz, we collect standard server logs including IP address, browser type, pages visited, and time on page. This is used to understand how people use our site and to diagnose errors.

Contact and project data. When you contact us, book a call, or purchase a service, we collect your name, email address, company name, and any project details you choose to share.

Payment data. Payments are processed by Stripe. We receive and store your Stripe Customer ID and Subscription ID to sync your plan status. We never see, store, or handle card numbers. Stripe's privacy policy governs payment data.

Apex Radar Slack app. When you install the Apex Radar app in Slack, we receive and store: your Slack team ID, team name, and the installing user's Slack user ID; the OAuth bot token Slack issues (stored encrypted at rest in Cloudflare Workers KV); URLs you configure for monitoring and your competitor list; cadence preferences, alert channel IDs, and monitor types; scan outputs including extracted competitor information and the strategic analysis we generate from it, retained up to 90 days; usage counters for weekly scan counts and daily question counts, used only to enforce plan limits.

We do not read or store messages in your Slack channels other than direct messages addressed to the bot or commands invoked with /apex.

We do not store personal data about employees at competitor companies we scan. Our scans target public marketing pages (pricing, homepage, blog) and public business listings (Google Maps, LinkedIn company page, X profile).

We do not sell or share your data with third parties for advertising or profiling.

To deliver services you have purchased, including website builds, AEO retainers, and Apex Radar reports.

To run the scans and features you explicitly request through the Slack app.

To deliver reports to the Slack channel you designate.

To enforce plan limits (scan count, question count).

To process payments through Stripe.

To troubleshoot errors. Error logs may include workspace IDs, URLs scanned, and HTTP error codes, but not message contents or personal data.

To communicate about your project and respond to inquiries. We do not send marketing emails without your consent.

Apex Architects and its products rely on these third parties. Your configuration and data flows through them as described:

Cloudflare Workers and KV: application hosting and data storage. All workspace data at rest.

Anthropic (Claude API): AI processing for extraction, synthesis, and question-and-answer features. Scan content and report questions are sent to Anthropic for processing. Anthropic does not use your data to train models.

OpenAI: AI processing for certain report features.

Firecrawl: web scraping of public competitor pages you have configured.

Exa: web search and research features in competitive intelligence reports.

Stripe: subscription billing and card processing. Card data never touches our servers.

Airtable: lead and client data management.

Calendly: booking calls.

Slack: the host platform for Apex Intelligence and Apex Radar. We use Slack's published APIs per their Developer Terms.

Scan reports: retained for 90 days, then automatically deleted.

Previous-scan snapshots used for change detection: retained for 28 days, then deleted.

Usage counters: retained for 14 days so we can render your current-week usage.

Question-and-answer sessions: 30-minute sliding window. Cleared when you type 'done' or go idle.

On Slack app uninstall: when you remove the app from your workspace, we receive an uninstall event from Slack and delete all data associated with your workspace within the same event cycle. This includes your workspace record, monitor configurations, cached reports, snapshots, usage counters, and session history. Your Stripe customer record is retained only as long as you have an active subscription.

On request: email hello@apexarchitects.xyz and we will export or delete your data within 30 days. Include your Slack team ID if your request relates to a Slack product.

Website project data and client records are retained for as long as needed to provide services and fulfill any legal obligations.

All data in transit is encrypted with TLS 1.2 or higher. Data at rest is encrypted by Cloudflare KV. Bot tokens and API keys are stored as Cloudflare Workers secrets, never in source code or logs. Webhook endpoints verify HMAC signatures from Stripe and Slack before processing any payload.

Websites built by Apex Architects are deployed to the Internet Computer Protocol blockchain. These sites are owned entirely by the client. Apex Architects does not retain access to client canisters after handoff unless explicitly engaged for ongoing maintenance.

Our services are directed at businesses, not individuals under the age of 13. We do not knowingly collect data from children.

Apex Architects is based in Quebec, Canada and complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec's Law 25 (Bill 64). Quebec residents have additional rights regarding their personal information under provincial law.

You have the right to access the personal information we hold about you, request correction of inaccurate data, request deletion of your data subject to legal obligations, and withdraw consent where consent is the legal basis for processing.

We may update this policy. Material changes will be posted to this page with a new 'Last updated' date. Continued use of our services after a change constitutes acceptance.
